  • Late Pick up Warning Letter Help

    I would like to start out with a "Thank You" to everyone who contributes to this forum. I have been reading the posts for a while and have really found my backbone from all of the fantastic information.

    I have a problem that I have let go on for way too long. I have long time DCPs (8 years, 2children) that separated about a year ago. I was very understanding with the occasional late pick up during the transition of them adjusting to whose pick up days are whose. Now they are settled into the new normal and have become chronically late (both of them, but they usually blame each other). 12 late pick ups in the last 6 months plus three late pick ups this week (today is Thursday). Money does not affect them, they are happy to pay a late pick up fee. I would like to add that no other family has had even one single late pick up in that 6 month period of time.

    I have written them a letter outlining the chronic lateness and how I will not tolerate it anymore and I would like some input from the forum. I think that this letter is their warning and one more late pick up results in an immediate termination. Another provider I was talking to said she would give two more late pickups before an immediate termination. What is your opinion?

    Here is my current letter:

    Dear DCPs,

    I am bringing to your attention that DCG has been picked up late, after 5:30 PM, Monday, Tuesday and Wednesday this week. Additionally, there have been 12 late pick-ups in the past 6 months.


    As you are aware, I am not able to accommodate late pick-ups. I have always been understanding about a very occasional late pick up and at this point I feel like my kindness has been pushed beyond acceptable limits.

    In the event that there is another late pick up our daycare contract will be terminated, effective immediately.

    I completely understand if your schedules have changed and you need to find a daycare that has a later pick-up time.

    I think that sounds good! I like how you've stated how many times late; so now they know you are on top of your business protocol.....normally I go with short/sweet but your letter sounds awesome.....maybe attach a website or an informational page with list of daycares to show you offered a solution; or they can simply follow your guidelines and pick up on time.

      I think what you have is great! It’s very well written like Annalee said.

      If I’m being honest, the only way I would not term on the next late pick-up is if the parent was involved in an accident. I wouldn’t entertain any other excuse for it. You’ve been more than patient!

        BoxBear let me just ask a question for clarification, do you mean that even one more late pick up say in 6 months will cause you to immediately terminate or are you/they going to look at it as a very occasionally?

        What happens if they are late today before you give them the letter? Will you terminate on the spot?

          The DCG is only with me until August when she ages out. So yes, if they are late in the next 5 months it would result in an immediate termination. (Unless there is a very, very, very good reason. Like a car accident or a true emergency.). Five other families have managed to be on time every single day for the last 6 months.

          I would not terminate today as they have not yet been given the letter. I will terminate tomorrow if they are late picking up tomorrow.

          Okay than I think there needs to be one change made. Add ever to your paragraph and underline it.

        I think it all depends on your tolerance level. As long as you're prepared to back up your threat and lose the family, I'd say your letter is no-nonsense and to the point. If that letter doesn't stop the late pick-ups, nothing short of termination will. lol I wouldn't offer two more late pickups before an immediate termination unless you're ok with them being late 2 more times. If you offer it/tolerate it, unfortunately, it's pretty much a guarantee they will take you up on it.

          I think it sounds perfect! They know they are doing this. It should not come as a surprise that you have had enough!
